Job Description:

Manpower Malta is seeking to recruit an HR Admin Coordinator to join our client's team.

The selected candidate will support the daily administration of the HR function, with a strong focus on work permits, immigration documentation, time and attendance monitoring, onboarding, employee benefits, and general HR administration. This role is ideal for an organised and detail-oriented HR professional who can manage sensitive documentation accurately and support a busy HR team across different operational areas.

Responsibilities:

  • Manage work-permit and residence-permit processes, including documentation, submissions, renewals, biometric appointments, and follow-ups.
  • Liaise with Identità and other relevant authorities, ensuring employee records, expiry dates, and compliance documents are kept accurate and up to date.
  • Monitor time and attendance exceptions, prepare reports, and coordinate with payroll to resolve discrepancies before deadlines.
  • Support onboarding, employee benefits administration, HR files, employee records, and general HR administrative queries.
  • Assist with HR documentation, staff activities, company events, internal updates, and compliance with company policies and procedures.

Key Requirements:

  • Previous hands-on experience managing work permits, immigration documentation, and liaison with Identità.
  • Strong administrative and organisational skills, with excellent attention to detail and accuracy.
  • Experience handling confidential employee documentation and understanding data protection requirements.
  • Good working knowledge of HR systems, office software, and general HR administration processes.
  • Good written and verbal communication skills in English, with the ability to work independently and manage compliance-sensitive tasks
