Job Description:

Manpower Malta is seeking to recruit an HR Coordinator to join our client's team.

The HR Coordinator will provide essential administrative support across the HR function, with a strong focus on work permits, immigration documentation, time and attendance monitoring, onboarding, employee records and general HR administration. The successful candidate will be responsible for ensuring that employee documentation remains accurate, compliant and properly organised while supporting the smooth day-to-day operation of HR activities. This position is particularly suited to a highly organised and detail-oriented HR professional who is comfortable managing compliance-sensitive processes independently and coordinating with internal departments and external authorities.

Responsibilities:

  • Manage work-permit and residence-permit applications from preparation and submission through to renewals, biometric appointments and follow-up with relevant authorities.
  • Maintain accurate employee documentation, permit records and expiry dates, ensuring ongoing compliance with immigration and employment requirements.
  • Monitor time and attendance exceptions, prepare relevant reports and coordinate with payroll to resolve discrepancies before payroll deadlines.
  • Coordinate employee onboarding and provide administrative support relating to HR records, employee documentation, benefits and general employee queries.
  • Maintain accurate HR systems and files while ensuring confidentiality, GDPR compliance and adherence to internal policies and procedures.

Key Requirements:

  • Hands-on experience managing work permits and immigration documentation, including liaison with Identità.
  • Strong administrative and organisational skills with excellent attention to detail and accuracy.
  • Experience handling confidential employee information and a good understanding of data protection requirements.
  • Comfortable using HR systems and standard Microsoft Office applications; HRIS and time and attendance experience is considered an advantage.
  • Good written and verbal communication skills in English, with the ability to manage responsibilities independently and reliably.
